Polite Fish ("we," "us," or "our") operates the website at www.politefish.com and provides digital planner products and services, including a web-based planner configurator and the Polite Fish Planner app for iPad and iPhone. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

By using our website or services, you agree to the practices described in this policy. If you do not agree, please discontinue use of our services.

Information We Collect

Information you provide directly

  • Contact form submissions: When you use our contact form, we collect your name, email address, and the content of your message.
  • Planner configuration preferences: When you use our planner configurator tool, we collect the preferences and options you select (such as color theme, page selections, and habit names). This information is associated with a unique session identifier (UUID) used to generate your personalized planner.
  • Purchase order notes: If you purchase a planner on Etsy and include customization details in your order note, we receive and process those details to fulfill your order.
  • App content and settings: When you use the Polite Fish Planner app, the planners and journals you design, along with the handwriting, drawings, and stickers you add, are stored in your own Apple iCloud account and are not transmitted to us. The configuration choices used to build a planner are processed by our generation service as described in the "Polite Fish Planner App" section below.

Information collected automatically

  • Server and access logs: Our hosting provider (Amazon Web Services / AWS S3 and CloudFront) may collect standard server log data, including your IP address, browser type, referring URL, and pages visited. This information is used for security, performance monitoring, and troubleshooting.
  • Cookies and local storage: Our website may use functional cookies or browser local storage to remember session state (such as your configurator progress). We do not use advertising or tracking cookies.

Information we do not collect

We do not collect or store payment information of any kind. Planner purchases are processed through Etsy, which operates under its own Privacy Policy, and in-app subscriptions in the Polite Fish Planner app are processed by Apple through the App Store under Apple's Privacy Policy. We do not have access to your Etsy or Apple payment details.

How We Use Your Information

We use the information we collect solely to:

  • Generate and deliver your personalized digital planner PDF
  • Respond to your contact form inquiries or support requests
  • Ensure our website and services function correctly
  • Comply with applicable legal obligations

We do not use your information for marketing, advertising, or analytics beyond what is required to operate our services. We do not sell or rent your personal information to any third party.

Planner Configurator & UUID-Based Processing

When you use our planner configurator, your configuration preferences are stored temporarily and associated with a unique identifier (UUID). This UUID is used to link your customization choices to your Etsy order so that we can generate the correct personalized planner for you.

Configuration data is stored on AWS S3 in a private, non-publicly accessible bucket. It is retained only as long as necessary to fulfill your order and is not shared with third parties.

Polite Fish Planner App

The Polite Fish Planner app for iPad and iPhone lets you design, write in, and decorate digital planners and travel journals. This section describes how the app handles your information.

Content you create (iCloud)

The planners and journals you create, including your handwriting, drawings, stickers, and any text you enter, are stored on your device and, when iCloud is enabled, in your own Apple iCloud account so they back up and sync across your devices. This content is held in your personal iCloud storage managed by Apple — we do not have access to it, and it is never sent to our servers. Apple's handling of iCloud data is governed by Apple's Privacy Policy. You can disable iCloud backup at any time in the app's settings, which keeps your content on your device only.

Planner generation

When you create or update a planner in the app, the configuration you choose (such as color theme, page selections, habit names, and any cover text you enter) is sent to our generation service to build your personalized planner file. This uses the same UUID-based, private AWS S3 processing described above and is retained for up to 90 days, after which it is deleted. Your handwriting, drawings, and stickers are not part of this configuration and are never sent to us.

Subscriptions

The app offers an optional auto-renewable subscription (Polite Fish Pro). Purchases, billing, and renewals are handled entirely by Apple through the App Store. We receive only your subscription status (whether an active subscription exists) from Apple in order to unlock paid features. We do not receive or store your name, payment method, or other payment details.

Sharing Your Information

We do not sell, trade, or otherwise transfer your personal information to third parties, except in the following limited circumstances:

  • Service providers: We use Amazon Web Services (AWS) for website hosting, file storage, and email processing. AWS processes data on our behalf under their Privacy Notice.
  • Etsy: Our planners are sold through Etsy. Etsy handles all transactions and buyer communications under their own privacy policy. We receive only the information Etsy provides to sellers (such as your order details and the content of messages you send us through Etsy).
  • Apple: The Polite Fish Planner app uses Apple's App Store to process in-app subscriptions and your Apple iCloud account to store and sync the content you create. Apple processes this information under its own Privacy Policy.
  • Legal requirements: We may disclose information if required to do so by law or in response to a valid legal process.

Data Retention

We retain personal information only as long as necessary to fulfill the purposes described in this policy:

  • Planner configuration data is retained for 90 days after your order is fulfilled, after which it is deleted.
  • Contact form submissions are retained for up to 12 months to allow follow-up on open inquiries.
  • Server logs are retained for up to 90 days by our hosting provider and then automatically deleted or anonymized.

Your Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request correction of inaccurate personal information.
  • Deletion: Request deletion of your personal information, subject to our legal obligations.
  • Objection: Object to certain types of processing.

Children's Privacy

Our services are not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

Our website contains links to Etsy and other third-party websites. We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies before providing any personal information.

Security

We implement reasonable technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
